An affiliate onboarding checklist for SaaS

Help approved affiliates create a useful first placement with a first-week checklist, welcome-message example and activation milestones.

Define what an onboarded affiliate can do

Onboarding begins after you approve an affiliate. Its outcome is someone who understands the product, can describe the offer accurately, and knows how to create a useful placement with working attribution. An account and a welcome email are intermediate steps.

Separate three milestones in your records: access confirmed, first relevant placement published, and first qualified customer action. Do not call every approved affiliate active. A publisher may need time to evaluate the product or fit a tutorial into an editorial calendar.

Name one person who owns the relationship. Give that person a short checklist and an agreed route for product, attribution and payment questions. If several teams own parts of the process, tell the affiliate where to start rather than making them find the right department.

On day one, make the next step obvious

Send a concise welcome that covers:

  • How to access the program and where to find tracking instructions.
  • The customer problem, suitable buyer and approved product facts.
  • Commission base, rate, earning duration, approval rules and payment timing.
  • The program terms and rules for promotions or paid advertising.
  • A support route and a suggested first asset.

Keep tax forms, payment details and personal information in the appropriate secure account flow. Do not ask affiliates to post them in a shared document or ordinary campaign thread. If your payout provider requires additional steps, explain them before the first payment is due.

Adapt this welcome message

“Thanks for joining [program]. Your next step is to [access the program and review tracking instructions]. Our product helps [buyer] with [specific problem]. Start with [approved guide or product walkthrough].

Your offer is [rate and commission base] for [earning duration], subject to [approval and refund rules]. Payment timing and methods are explained in [terms]. If you are planning an article, tutorial or customer recommendation, reply with the audience and angle so we can help you find accurate material. Questions go to [monitored support route].”

Fill every bracket with a verified destination or rule. Do not promise a response time the team cannot meet. Keep the message short enough that the affiliate can identify the first action without reading a long sequence of promotional emails.

Use the first week to remove friction

Check that the affiliate can access what they need and understands the product. Offer a focused walkthrough of the buyer's workflow. Ask them to explain where the product belongs in their audience's work; this can reveal a mismatch before either side invests in content.

Review the intended placement for accurate claims and useful context. Confirm the destination, query parameters and any coupon rules. Test attribution through an authorized test transaction or the platform's supported validation process. A click count alone does not prove the resulting paid customer will be attributed correctly.

After publication, inspect the live asset and its links. Record its URL and publication date. Check again if the asset moves, a link changes, or program rules change. Your checklist should record evidence, not merely a checked “welcome sent” box.

Copy the onboarding checklist

  1. Confirm access and the affiliate's intended audience.
  2. Review the commission offer and program terms.
  3. Provide a product walkthrough and approved claims.
  4. Agree one useful first placement and its owner.
  5. Check link/code behavior and the destination.
  6. Review the published placement and relevant customer actions.
  7. Confirm the affiliate knows how to ask about earnings and payments.

At the end of the first week, distinguish an access problem, a fit problem and a scheduling delay. Each needs a different response. If the affiliate has not replied, follow their communication preferences; repeated reminders are not an onboarding strategy.
