Submitted leads
An affiliate can send you a lead from their portal. You review it before any customer or money record is added.
Turn on the form
- Open Submitted leads in your dashboard.
- Turn on Allow affiliates to submit leads.
- Add any extra questions. Choose text, one choice, or multiple choices.
- Mark a question Required if every affiliate must answer it.
The form always asks for the lead name, contact email and estimated deal size. An affiliate can enter 0 when they do not know the deal size. You can add up to 50 extra questions. Removing a question keeps answers that were already submitted.
Submit a lead
- Open the affiliate portal and choose leads.
- Enter the lead details and answer the questions.
- Click Submit lead.
Your lead starts as pending. Only you and the program staff can see your submission.

Review a lead
- Open Submitted leads in the owner dashboard.
- Read the lead details and answers.
- Choose Review approval or Decline.
To approve, enter the customer ID, actual payment amount and commission amount. The estimate does not become a payment by itself. Click Approve and create records to create one customer, one payment record and one pending commission. You can then review the commission in Commissions.
This records a payment you received outside Referral Bear. It does not charge the customer or send a payout. Use the payment’s refund action if that payment is later refunded.
To decline, enter a reason. The affiliate can read your note. Declining does not create a customer or commission.

Fix a problem
- Questions changed: refresh the form and use the current questions.
- Customer ID already exists: check the existing customer before adding another. Do not create a second customer just to retry an approval.
- Affiliate must be active: review the affiliate’s status before approving the lead.
- Lead submissions are closed: the owner must enable the form and the program must be active.
A repeated submission or approval request does not create duplicate records. Turning off the form stops new submissions; it keeps the leads already sent.
